GENERAL MEETING INFORMATION

When and where is the conference?
Our 25th International Conference will take place at the Hyatt Regency Trinidad Hotel from July 23rd to 27th, inclusive.
When should I plan to arrive for the event?
Plan to arrive by Wednesday, July 22, and depart on Tuesday, July 28, if you are attending the main conference only. All delegates are encouraged to stay at the Hyatt Regency Trinidad or the Radisson Hotel Trinidad, where we have secured the best room and board rates. We also offer pre and post-conference workshops and field trips that showcase Trinidad and Tobago’s exceptional birdlife and natural beauty, so be sure to consider these when planning your trip. Can I attend the conference online?
At this time, we are not planning to offer a virtual attendance option. However, we anticipate recording the keynote presentations and possibly selected symposia talks to share on our website after the conference.
Do I have to present at the conference to attend?
No, presenting is not required to attend the conference.
Is there a dress code for the event?
For the conference—comfortable and casual! Feel free to channel your inner birder, whether that’s rocking a past conference T-shirt, your favorite bird-themed outfit, or just your everyday conference-ready attire.
If you’re going on a field trip, it will depend on the exact trip you book, but you’ll want comfortable shoes, sunscreen, mosquito protection, and a hat. NOTE: Camouflage clothing has been banned for civilians in Trinidad and Tobago and is only permitted for the Trinidad and Tobago Defence Force.
What parking arrangements are available at the venue, Hyatt Regency Hotel?
Self-parking is complimentary for guests in the multilevel garage (up to 1,200 cars). Bus parking requires prior approval through the Hyatt’s Sales or Events teams. Valet parking is available for USD $9.00, payable at the front desk.

Will translation services be provided for non-English speakers?
While the primary language of the conference is English, simultaneous interpretation (English/Spanish) will be available for all plenary sessions and select symposia, workshops, and roundtable discussions.

What is the refund/cancellation policy?
If you cancel your attendance at the BirdsCaribbean 25th International Conference more than 60 days before the conference (by May 23, 2026), you will receive a full refund minus a 10% processing fee. Cancellations made between 60 and 20 days prior (May 24–July 3, 2026) will receive a 50% refund of the registration fee. Cancellations made less than 20 days before the conference begins (after July 3, 2026) are non-refundable.
What payment methods are accepted?
You can pay by credit card within Whova. Through Givebutter (using the Alternative Payment Method Ticket option), you can use a debit or credit card, PayPal, Venmo, Cash App Pay, or ACH. Cash and checks are also accepted.

What airlines fly to Trinidad?

Do I need travel insurance?
Yes, you will need to organize your own travel insurance prior to the event. Please ensure your insurance covers any excursion activities you plan to do.

Are there any safety considerations that I need to be aware of?
Your safety is our priority. Trinidad and Tobago is a vibrant destination, and by practicing the same situational awareness you would in any city, you can ensure a safe and enjoyable visit. Use only official “H” registration taxis (license plates begin with “H”) or reputable ride-share apps, stay in well-lit and populated areas such as Ariapita Avenue (“The Avenue”)—especially at night, when we recommend traveling in groups—and keep a low profile by avoiding flashy jewelry and keeping devices out of sight in public. For emergencies, Police: 999, Ambulance: 811, Fire: 990.
What should I do if I feel sick or unwell during the conference?
If you feel sick or unwell, please take precautions to help prevent the spread of illness to other participants. We kindly ask that you wear a face mask, practice frequent and thorough handwashing, and avoid close contact with others when possible. If your symptoms are significant, please consider resting and limiting in-person participation until you feel better. If you need assistance, please contact conference staff or hotel staff immediately. In case of an emergency, call 811 for an ambulance.
